The Committee

The committee will be made up of the following Roles.

Chair – Chris Asher
Secretary – Ciaran Rowe
Treasurer – Trevor Waite
Captain – Martin Wells
Vice Captain – Justin Hunt

  • Each committee member will have 1 vote to use on behalf of the members.   There is no option to abstain.   This means any decision to be made in relation to the running of the Society will always have a majority decision where a vote is required.
  • Any committee member can bring an item up for discussion to the rest of the committee. Any committee member hearing an idea from a member is obligated to bring this up for discussion with the committee.   Majority decision will rule.   Committee will decide (in best interests of society) whether this will be put to a members vote or decided within committee.
  • First question for committee on any request/change should be:-
    • Is this a decision to be made by Committee alone?
    • Is this a decision should be put to all members?

Majority decision will determine how this is moved forward to the actual item to be discussed.

  • The Chair, Secretary and Treasurer are fixed roles, unless a member of the committee decides to step down.    The Captain and Vice Captain roles are fixed through to end of 2018.    At end of 2018 if it is requested by members, and candidates are put forward, the committee will make a decision as to whether these roles should be electable.    
     

Roles and Responsibilities

Chair     

  • One Vote in any committee meetings/decisions.
  • To oversee the Financials of the Society.   Access to all statement of accounts, and access to bank account records.
  • Ability to sign cheques and transfer money from bank account (to cover Treasurer).
  • To manage Website accounts (Domain Management through EasySpace, Hosting through Hostgator).
  • No day to day management of events, except where cover is needed for another role.

Secretary

  • One Vote in any committee meetings/decisions.
  • To manage all communications with Members.
  • To manage all communications with Golf Clubs (Post booking) for non-majors.
  • To make payments (on approval of Treasurer) for cash based society days for balance payment.
  • To provide Treasurer with all profit records from Society days (non-majors).
  • To find and book all events for each year with golf clubs, within an approx. budget figure designated by Treasurer.   (No requirement to book Treasurers, Captains, Vice Captains or Xmas Society day).
  • To inform Treasurer of all society days booked.   Secretary can publish fixtures, Treasurer will advise on mark up for each day depending on finances.
  • To collect all cash membership money and provide to Treasurer.
  • To make the draw for each society (alongside another committee member, or a member if no committee member available).
  • To manage Handicaps.
  • To manage Promotions, Relegation and Play Offs, and league tables.
  • To manage Website content.
  • To manage T-Shirt Purchases where required for prizes.
  • Responsible for Organizing their own designated major (must attend aside from extremely good reason – if necessary we can swap a day with another committee member as does not matter which order they are played in over the 12 months).  
  • Suggestions for courses (with cost), and availability to be made by Secretary to all committee members by end of December.  
  • Committee decide (based on keeping costs consistent across all majors) which courses to book.
  • Secretary responsible for booking their own day with course.
  • Treasurer will decide how much additional money is added to each day (average £10 per day).
  • Prizes for each day can be determined by Secretary. (i.e. they can play NP, LD, NP in 2 on Par 4, NP in 3 on Par 5, a team game etc – whatever they decide).    
    • To perform presentation at their own day.
    • Must be a 1st place prize.
    • Must be a 2nd place prize.
    • Must be 4 other prizes
    • Treasurer will determine how much money available for each prize. 

Treasurer

  • One Vote in any committee meetings/decisions.
  • To manage the Financials of the Society.
  • Prepare all Statements for society across all 12 society days.
  • Access to all statement of accounts, and access to bank account records.
  • To provide allocation of funds as required for all Prizes across the year (all majors, Leagues, and Xmas society).
  • Ability to sign cheques and transfer money from bank account (primary).
  • To make payments for all pre-paid society events.
  • To make payments for all deposits as directed by Secretary, Captain and Vice Captain.
  • To authorise payments by other committee members as requested from own pocket, and make payments to other committee members in reimbursement.
  • To collect all electronic membership payments.
  • Responsible for Organizing their own designated major (must attend aside from extremely good reason – if necessary we can swap a day with another committee member as does not matter which order they are played in over the 12 months).  
  • Suggestions for courses (with cost), and availability to be made by Treasurer to all committee members by end of December.  
  • Committee decide (based on keeping costs consistent across all majors) which courses to book.
  • Treasurer responsible for booking their own day with course.
  • Treasurer will decide how much additional money is added to each day (average £10 per day).
  • Prizes for each day can be determined by Treasurer. (i.e. they can play NP, LD, NP in 2 on Par 4, NP in 3 on Par 5, a team game etc – whatever they decide).    
    • To perform presentation at their own day.
    • Must be a 1st place prize.
    • Must be a 2nd place prize.
    • Must be 4 other prizes
    • Treasurer will determine how much money available for each prize.

Captain & Vice Captain

These roles are interchangeable.   

The Captain and Vice Captain are responsible for all of the below, and also expected to assist Secretary/Treasurer where required – as to how they divide this work up, is their decision.   If one thinks the other is not performing or assisting or available, then raise to committee for discussion.

  • One Vote (each) in any committee meetings/decisions.
  • To manage bookmakers, and handing over profits/obtaining funds for payment to/from Treasurer.
  • To write all cards out for members with handicaps on each day.
  • To manage all trophy related activities
    • To arrange collection of trophies from previous winners
    • To manage the purchase of all annual trophies required.
    • To manage engraving of existing trophies (including all holidays where applicable).
  • To arrange and Manage Xmas society – including prize purchase, and presentation etc.
    Responsible for Organizing their own designated major (must attend aside from extremely good reason – if necessary we can swap a day with another committee member as does not matter which order they are played in over the 12 months).  
  • Suggestions for courses (with cost), and availability to be made by both Captain/Vice Captain to all committee members by end of December.  
  • Committee decide (based on keeping costs consistent across all majors) which courses to book.
  • Captain/Vice Captain responsible for booking their own day with course.
  • Treasurer will decide how much additional money is added to each day (average £10 per day).
